  1. The type of personal information we collect 

We currently collect and process the following information:

  • Full name, postal/billing address, email address, telephone number, card details (we never store your 3-digit security number), date of birth (optional). We also keep a record of your bookings and donations on our ticketing system. 
  1. How we get the personal information and why we have it

We only collect information that’s necessary to carry out our business or to deliver our charitable objectives. Most of the personal information we process is provided to us directly by you for one of the following reasons: 

  • To register on our website in order to book tickets for an event, make a donation, sign up for a membership scheme, subscribe to our mailing list, or apply for a job or to volunteer at The Wardrobe Theatre. 

We store your contact details in order to communicate important information regarding your booking, primarily via email. We may contact you via telephone if an event is cancelled or rescheduled or if there is an issue with your payment. 

We will only send you marketing communications via email if you opt in to receive such communications. You can amend your preferences at any time on your customer account. 

We keep a record of your bookings and donations for your and our reference, to inform our analytics reporting in order to improve the services we provide, and to tailor our marketing communications to be relevant to you. 

Our website uses Cookies. Cookies are small text files stored by websites on your computer/ device to retain your browsing history or remember your preferences for that site. They enable us to offer our online ticketing service and analyse visitor data. If you prefer not to use cookies, you can adjust your internet browser settings to disable them. Please note that this might impact certain features’ accessibility on our website.

  1. Who we share your personal information with

We will never sell, rent or trade your personal information to any third parties for marketing purposes. When booking tickets for an event at The Wardrobe Theatre, you will be asked for permission to share your personal information with the organisation who has produced the event in order to receive future communications from them. You can amend your preferences at any time on your customer account. 

We may disclose your personal information to our ticketing system software provider, Spektrix. Such third party service providers process data on our behalf and we require that they comply strictly with our instructions and with data protection laws, such as regarding personal data security. They will not use your data for anything other than the service that they are providing on behalf of The Wardrobe Theatre. 

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are: 

(a) Your consent.
Where applicable, we will seek your explicit consent before utilising your personal information for the specified purpose. You are able to remove your consent at any time. You can do this by contacting info@thewardrobetheatre.com or updating your details/preferences on your Customer Account.

(b) We have a contractual obligation.
When you make a booking or donation, you are entering into a contractual agreement with The Wardrobe Theatre. We need to process and store your data in order to fulfil this agreement.

(c) We have a legitimate interest.
We collect and process your personal information for purposes aligned with our legitimate organisational interests, as detailed in section 3. We ensure that there is no overriding prejudice to you by using your personal information in this way. 

(d) We have a legal obligation.
In instances where we are obligated to disclose your personal information to comply with legal requirements (e.g., to government bodies and law enforcement agencies).

4. How we store your personal information 

The Wardrobe Theatre is committed to protecting your personal information. We implement robust and appropriate technologies and policies to protect the information we have about you from unauthorised access and improper use, and ensure that any third parties we use for processing your personal information do the same.

We only keep your data for as long as necessary, to fulfil the purpose for which it was collected. With regards to details of your bookings and donations, these are stored indefinitely for your and our reference and so that we can link any subsequent bookings or donations you make to a single unique record that we hold for you on our system.

If there are aspects of your Customer Account (i.e. booking/donation record, personal information, contact preferences) that you would like updated or removed, you can do so by logging into and updating your Customer Account or by contacting info@thewardrobetheatre.com.

We do not store, share or send your data outside of the European Economic Area.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
